Mô tả Công việc

1. Human Resources (60%)

  • Employee Data Management: Efficiently process, update, and maintain accurate employee data and confidential records within HR systems.
  • Policy Management: Keep company policies and procedures up-to-date, ensuring they are compliant with relevant regulations and effectively communicated to all staff.
  • Recruitment Support: Assist in various stages of the hiring process, including posting job advertisements, scheduling interviews, and preparing offer letters.
  • HR Operations: Contribute to the smooth running of all HR operations, ensuring compliance with HR policies and promoting effective internal communication.
  • Onboarding & Offboarding Support: Provide administrative support for employee onboarding processes, including new hire paperwork and orientation, and assist with offboarding procedures.
  • Confidentiality: Handle all sensitive and confidential employee information with the utmost discretion and professionalism.

2. Administration (40%)

  • Office Management: Oversee day-to-day office operations, including managing office supplies inventory, coordinating with vendors, overseeing equipment maintenance, and ensuring general facilities upkeep.
  • Travel & Scheduling: Coordinate travel arrangements, appointments, and meetings for team members and management, ensuring efficient scheduling.
  • Document & Records Management: Handle incoming and outgoing paperwork, manage contracts, and maintain organized office files, databases, and records, both physical and digital.
  • Internal Event Coordination: Organize and schedule company events, team meetings, workshops, and other internal company activities from planning to execution.
  • Financial Administration: Assist with basic financial administration tasks, including managing office budgets, tracking expenses, and supporting bookkeeping and invoicing processes.
  • Compliance: Ensure strict adherence to office policies and procedures, contributing to a well-regulated and orderly work environment.
  • Team Support: Provide general administrative support to various departments as needed, fostering a collaborative and supportive atmosphere.

Yêu cầu Tuyển dụng

  • Proven experience in a similar HR and/or Administrative role, preferably within a PR firm, Media company, agency, or a fast-paced office environment.
  • Strong understanding of HR functions, policies, and best practices.
  • Exceptional organizational and time management skills with a keen eye for detail.
  • Proficiency in office management software, HRIS, and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Ability to handle multiple tasks simultaneously and prioritize effectively.
  • High level of discretion and ability to handle confidential information.
  • Proactive, self-motivated, and able to work independently as well as part of a team.
  • A bachelor's degree in Human Resources, Business Administration, or a related field is a plus.
