🔎 Role Summary

We are seeking an experienced and resourceful Project Leader to take a leading role in the planning, coordination, and execution of events. As a key player in the Event team, you will oversee end-to-end event logistics, manage vendors and crew, ensure compliance with safety and quality standards, and support the team in delivering flawless experiences for our clients. You’ll also mentor junior staff and take ownership of complex or large-scale event setups.

🎯 Key Responsibilities

1. Operational Planning & Execution

• Lead the preparation and implementation of operational plans for events (corporate, MICE, activations, etc.)
• Manage event logistics including transport, venue setup, production, equipment, manpower, and permits
• Develop detailed run-downs, production schedules, and contingency plans

2. Vendor & Supplier Management

• Source, evaluate, and negotiate with key vendors and subcontractors
• Oversee vendor performance and service delivery on-site, ensuring high standards of execution
• Maintain and expand a reliable network of vendors across categories (AV, staging, printing, F&B, venue, etc.)

3. On-site Leadership

• Take charge of on-ground operations, coordinating with all stakeholders including crew, suppliers, venue, and clients
• Supervise junior operation staff and freelance crew during setup and event day
• Troubleshoot unexpected issues with professionalism and calm under pressure

4. Budgeting & Documentation

• Assist in preparing and managing operational budgets and cost controls
• Track usage of materials, equipment, and labor for reporting and reconciliation
• Ensure all documentation (permits, safety plans, insurance, etc.) is in place pre-event

5. Cross-functional Collaboration

• Work closely with Project Manager, Creative teams, and Production Leads to ensure operational feasibility of event concepts
• Participate in brainstorms and pre-event planning sessions, contributing logistical insights
• Act as an advisor on best practices, safety compliance, and technical requirements

🧠 Qualifications

• Bachelor’s Degree or equivalent in Event Management, Logistics, Hospitality, or related field
• 2–4 years of experience in operations for events, exhibitions, or MICE projects
• Solid knowledge of event logistics, AV production, site management, and vendor coordination
• Strong leadership, communication, and problem-solving skills
• Ability to manage multiple events simultaneously under tight deadlines
• Proficiency in Microsoft Office (especially Excel), and understanding of production tools like floorplans, CAD, etc.
• Willingness to travel and work flexible hours, including weekends and holidays
• Proficiency in communication in English.
