PSA is a fast-growing eCommerce & SaaS company developing in-house AI-powered systems (ERP, OMS, CRM, Data Analytics) to optimize cross-border logistics and online retail operations.

Main Responsibilities:
1. Executive Calendar & Communication Management:
-
Manage and prioritize the CEO’s daily schedule (investor calls, client meetings, internal reviews, strategy sessions).

Prepare concise daily briefings (attendees, agenda, key risks/opportunities).
-
Draft, edit, and manage communications for investors, partners, and board members.
-
Summarize incoming emails and highlight only critical messages requiring CEO’s attention.
2. Operations Oversight:

Monitor fulfillment performance metrics (order accuracy, SLAs, customer experience).
-
Deliver daily dashboards on warehouse/3PL efficiency, carrier reliability, and inventory health.
-
Identify and flag bottlenecks in fulfillment operations (delayed shipments, stockouts, system issues).
-
Coordinate closely with the COO and Ops Lead to ensure operational continuity.
3. AI Business Intelligence:

Run AI-powered reports on sales trends, demand forecasting, and SKU performance.
-
Detect anomalies (spikes in returns, sudden demand surges, logistic inefficiencies).
-
Suggest optimization opportunities (predictive staffing, AI-based routing, inventory rebalancing).
4. People & Leadership Support:

Summarize team updates, surfacing critical issues for CEO decisions.
-
Track recruitment pipelines for key AI/tech and logistics roles.
-
Use AI tools to capture employee sentiment (from Slack, emails) and highlight morale/culture risks.
5. Investor, Partner & Customer Relations:
-
Prepare briefing notes and talking points for investor and partner meetings.
-
Monitor competitor news and industry trends (AI, logistics, fulfillment).
-
Draft follow-up communications to investors, customers, and strategic partners.
6. Strategic & Special Projects:

Research new opportunities (AI integrations, fulfillment robotics, last-mile solutions).

Benchmark competitors’ offerings and operating models.
-
Support preparation of board reports, quarterly business reviews, and fundraising materials.
Expected Daily Output

Morning Briefing: Daily schedule, top 5 KPIs, urgent issues, competitor/news alerts.

End-of-Day Wrap-up: Summary of key decisions, issues escalated, and progress on projects.

AI-driven Dashboards & Alerts: Fulfillment performance, customer insights, financial health.
Job Requirements:

Must have lived, studied, or worked in the US, UK, Australia, or Canada.

Fluent in English, confident in cross-cultural communication.
-
Bachelor’s degree in Business, Operations, or related field.

Prior experience in executive support, business operations, or coordination roles is preferred.

Strong understanding of operations, logistics, or eCommerce is an advantage.

Professional communication, organizational, and multitasking abilities.

Quick, adaptable, detail-oriented, with strong problem-solving skills.

High proficiency with productivity, reporting, and AI/automation tools.
