[HCM][Agency] Mirum Vietnam: Looking for Admin Manager

OFFICE MANAGER

We are looking for an experienced Office Manager who has a fun personality and is very social, who loves to think of new fun ideas and ways to build the team into a strong-knit family.

You will work closely with Directors, Human Resources and Finance team to bring the best administration for Mirum. Your aim is to ensure that Mirum employs’ working condition and office are well organized. You are also responsible for coordinating training, workshop and internal events.

Descriptions

  • Overseeing general office operation.
  • Greeting visitors, answering a high-volume of incoming phone calls and delivering world-class service to our customers.
  • Coordinating appointments and meetings and managing staff calendars and schedules.
  • Supervising, mentoring, training, and coaching our office staff and delegating assignments to ensure maximum productivity.
  • Coordinating domestic and international travel, including flight, hotel, and car rental reservations.
  • Purchasing office supplies and equipment and maintaining proper stock levels.
  • Producing reports, composing correspondence, and drafting new contracts.
  • Creating presentations and other management-level reports.
  • monitor and record expenses
  • prepare expense reports
  • maintain office budget
  • Policies and Procedures

  • evaluate existing procedures
  • design and implement procedural improvements
  • prepare materials describing procedures and standards
  • communicate changes in policies and procedures
  • ensure adherence to policies and procedures by staff members
  • order and maintain office supplies
  • research vendors for pricing and delivery options
  • troubleshoot computer and systems problems
  • liaise with IT specialists to resolve problems

Requirements

  • 4-5 year experience in the same position.
  • Experience in the leadership role of Office Manager and Event Management
  • Ability to build strong working relationships and work effectively with senior leadership and all other levels in the organization.
  • Excellent communication skills in both English and Vietnamese, orally and writing alike.
  • People oriented, strategic mind, analytical thinking, effective problem-solving skill, result focus
  • Ability to facilitate meetings and make presentations.
  • Experience developing relationships and partnering with various departments as well as experience developing relationships with managers and employees.
  • Very thorough and detail oriented
  • Strong sense of accountability and personal ownership for all areas of responsibility.
  • Must be able to deal effectively with ambiguity.
  • Likable and able to develop honest relationships with a diverse employee group
  • Demonstrated self starter with solid organizational skills, with the ability to deal with multiple tasks and handle confidential information in a professional manner at all times.
