[HCM][Agency] The Purpose Group: Looking for Receptionist cum HR Admin

The Purpose Group, is a growing independent agency in Viet Nam, with a growing client base (www.thepurposegroup.vn to see our work).

Our dynamic and creative team is looking for a Receptionist cum HR Admin who is a representative for The Purpose image whenever there're guests coming to our office, take care and monitor admin tasks and assist our leadership team.

A. Main Tasks

Hr - General Administration: (70%)

1. General administration:

  • Manage monthly office payment (mobile phone, taxi, office rental, other expense…)
  • Manage monthly payment of laptop fee to employee
  • Update telephone list monthly
  • Assist employee for travel logistics (booking flight, hotel, other guidance)
  • Manage office assets & meeting room equipment
  • Manage fingerprints for company staff
  • Provide administration and general support to the HR Manager in ensuring compliance with Health & Safety Regulations
  • Work with office suppliers (Printers, Plants, Stationery, Pantry supplies….) to provide and maintain the best quality and stocks
  • Responsible for updating company official pages: website, Facebook page
  • Coordinate internal events

2. Assist to BOD on:

  • Assist BOD & HR in all activities such as visa, work permit, temporary resident card for expat
  • Prepare logistics for BOD meeting (internal meeting and meeting with client)
  • Others request from BOD

3. Representative to work with the office building

  • Manage office in/out delivery process (form, sign in, ….)
  • Register for new comer cards (elevator card, parking card, …)
  • Monthly report as office building request
  • Coordinate with building for regulation and operations

4. Handle other reports:

  • Consolidate Client Service WIP meeting report
  • Office expenses
  • Other reports assigned from manager

Receptionist: (30%)

  • Greet & welcome visitors coming to the office, inform and guide to the right meeting room if necessary
  • Proceed inbound and outbound calls, note enquiries and direct to the appropriate departments or person.
  • Record and distribute incoming and outgoing office postal letters/documents/packages
  • Take responsibility for the tidiness and professional appearance of the reception as well as office area.
  • In charge for company office email
  • Be responsible for new client approach and take further actions on that

B. Success Measurements

  • Good customer service orientation
  • Excellent attention to details in both administrative and daily operations
  • Good organization and project coordination
  • Operating with discipline ensuring timely deliverables within given budget
  • Taking initiative to provide creative solutions to issue

C. Education and Experience

  • Have at the bachelor from University
  • Have experience in personal assistant or administration execution is preferable
  • Have good interpersonal skill (service mindset, problem solving, flexible) and dedication to details
  • Have good communication in both English and Vietnamese
