Project Executive Internship Job Description – Part-time

AdCrew is recruiting a Project Executive Internship to support the events team across a number of live events, assisting with administrative support and project coordination. This role is designed to support end-to-end planning, design, build and delivery of life experiences and events. The role also involves an element of creative writing and design. You will work in the key project team and deliver skills for exciting brands and clients around the world. This position is not temporary, which requires a dedicated and motivated person to adapt to the career path.

KEY RESPONSIBILITIES

  • Assist the events team with the design, planning, coordination and communication of client and self-initiated projects
  • Gain a good understanding of internal agency roles, project stages and administrative processes to aid the smooth management from initial brief to final build, delivery and project reporting
  • Gain an awareness of the necessary level of financial control for projects; learning how to budget, forecast, invoice and maintain tight management of ongoing project budgets
  • Provide an opportunity to take ownership of small scale events Roles and Responsibilities
  • Assist in preparing and updating project administration documents; timelines, meeting notes, external contractor briefs, status reports, financial reports, and H&S documents
  • Assist with managing the creation and delivery output process, including briefing client feedback to team members and assist in managing the delivery of key stages of work
  • Act as a support to Project Managers at live events and installs
  • Team coordination assisting with daily management, room bookings, travel itineraries and arrangements
  • Provide holiday cover for team members when required
  • Source, contract, brief and manage external contractors and suppliers
  • Contribute to creative proposals with ideas, research and written presentations Essential

KEY SELECTION CRITERIA

  • Bachelor degree in relevant disciplines
  • Previous live events experience
  • Show a deep interest and passion for the industry
  • A natural team player attitude
  • Excellent customer service and a good communicator
  • Good financial acumen
  • Ability to multi-task across multi-faceted projects
  • Able to adapt to change and respond positively when faced with new challenges
  • Able to work autonomously, investigate and think analytically to problem-solve in a creative manner
  • Competent in Microsoft platforms, Adobe In Design and Google Docs General
  • Show clear evidence of a desire to build upon previous work experience in the events sector
  • Be prepared to be flexible and very hands-on with a positive can-do attitude
  • Be proactive and timely to support the events team to ensure quality, accuracy, and practicality of all tasks
  • Ambitious, eager, able to take direction and quick to learn
  • Undertake any other duties as may be reasonably required
  • Be able to speak knowledgeably and articulately about all aspects of the work of AdCrew and to support the organization’s principal aims and objectives
  • Communicate regularly and effectively with the entire studio team and seek support from appropriate staff at the earliest opportunity should problems arise the team

ENGLISH PROFICIENCY REQUIREMENTS

If English is not your native language, you will be required to demonstrate a minimum English proficiency standard at a BULATS Intermediate level (BULATS score 65), equivalent to

IELTS (General) 6.0. AdCrew will require you to complete a BULATS test to assess your English level before an offer of employment can be made.
